Policies and Procedures

Booking, Late, Cancellation, and No Show Policies

Booking All Services

  • All first-time bookers must book with a valid card on file.  This card will not be shared or charged without the client’s awareness.

  • Booking is done through Calm Water's booking link at: 

  • It is required to have a valid card on file for cancellation fees and no call no show fees.  If you end up owing a fee –you will not be able to book for any services without dues paid. These dues can be paid with your card on file, or in person at Calm Waters.

  • No bookings will be taken without a valid credit or debit card on file.  If you cannot book online, cards will be taken over the phone or bookings will happen in person at Calm Waters with card readily available.

  • All sales are final. Credits cannot be exchange between services.

  • All gift card sales are final-credits cannot be used or exchanged for other services.

Late Policy

If you are late to an appointment:

  • Calm Water's recognizes that everyone’s plans can get disrupted as we go about our day. We want to be able to accommodate to and respect both our client and our staff’s time with out affecting other client's appointment schedules

  • We encourage all of our clients to be at least 15 minutes early to each session.  This ensures that each session starts and ends on time.

  • If a client is late: your service will be shortened to fit the allotted time and will be charged for the full session.

Cancellation Policy

  • Any appointments can be canceled up to 24 hours before the scheduled sessions with no penalties.

  • If a client needs to cancel after the 24 hour mark the late cancellation fee is 50% of the total session cost for float and sauna, and 100% of the total session cost for any massage session.

  • If you do not have a card on file or your card is invalid – you will be placed on a non- rebookable list until all dues are paid.

  • If you do re-book yourself online your appointment will be canceled until payment is received (you will be notified).

No Call, No Show Policies

  • If a client does not notify Calm Waters staff to cancel by the start of the session it is considered a no call, no show.

  • Clients who miss their appointments without giving any prior notification will be charged in full for the scheduled service.

  • Clients may cancel their appointment by calling 765-490-2188 or emailing info@calmwatersfloat.com only.

We recognize the time of our clients and staff is valuable and we have implemented these policies for a reason.  When you miss an appointment with us, your massage practitioner and Calm Waters not only loses your business, but also the potential business of other clients who could have scheduled an appointment for the same time.

Float Therapy Policies

  • Clients will not wear jewelry in the float tanks

  • Clients will remove all makeup with the make-up removing wipes provided by Calm Waters

  • Clients  will not float while in the first trimester of pregnancy

  • Clients will shower with shampoo and body wash before I enter the float tank for each session.

  • Clients will use caution at all times while entering and exiting the float tank or shower. The float area and my feet may be wet and slippery.

 

Client will also agree to NOT float if they are experiencing the following before every float session:

  • Active use of alcohol or illegal drugs

  • Large cuts, wounds, dermatitis, active infections

  • Uncontrolled heart arrhythmias

  • Very low blood sugar or “brittle” diabetes

  • Uncontrolled seizures

  • Kidney failure

  • Active suicidal ideation or severe depression

  • Allergy or sensitivity to Epsom Salt

  • Motion sickness or seasickness

  • Inability to enter or exit the float tank alone

  • Perforated ear drum or other ear problems

  • Recent tattoo or piercing

  • Experience a heavy menstrual period that would prevent me from swimming in a pool 

  • Fever with it 24 hours of each session

  • Incontinence or gastro-intestinal incontinence

CALM WATERS HAIR DYE POLICY:

 

Please be advised we have a strict policy on hair dye for float and sauna services. We have these policies in place to protect our scheduling, equipment, our float solution, our entire float and sauna rooms, and your hair do. 

 

We use magnesium sulfate (epsom salt) and H2O2 in our float solutions and both can be used in hair salons to strip chemicals and dyes in hair making it very easy for colors to run in our float solution.

Rainbow Colored Hair: Clients with Rainbow colored (Reds, Oranges, Pinks, Yellows, Violets, Purples, Blues, Greens, etc)  hair must have colors completely washed out AND pass our white towel test before floating.  We will dip a section of your hair in a cup of our floating solution and then rub the hair for 1 minute with a  white towel.  There must be NO colors running in the towel. 

 

Blacks, browns, caramels, etc:  Clients must wait until 8-10 hair washes after hair is dyed and also must not have any colors run when showering or on their towel/sheets at home.  

 

ALL clients can be subjected to the white towel test if front desk suspects hair dye.  

 

Swim caps are not allowed at Calm Waters to be used as a safeguard for hair dye as the float solution can still seep out from the seal. All other reasons for swim caps are permitted.

 

Please understand hair dye incidents can seriously impede on a small business like ours and we take this policy very seriously.  Hair dye incidents that result in damaged equipment, subsequent scheduled floats that are cancelled, staining of our fiberglass tanks, and having to replace the solution can result in a $200-$2500 fee depending on the severity. We also don't want to see you ruin the awesome hair you probably just payed a lot of money for.  So please schedule your floats wisely and don't hesitate to ask us questions if you need clarification on our hair dye policy.

Facilities and services of Calm Waters, specifically regarding float pods/tanks are susceptible to unique agents beyond Calm Waters control that only you as a floater can control. These agents may damage our equipment and float solution and may require extensive cleaning and repair are:

1. Spray tans, henna tattoos, tinted lotions, makeup, hair dye or other agents that may transfer off the body and into the float tank or towels that you may use.

2. All bodily fluids specifically including, but not limited to, vomit, urine, fecal matter, blood or toxins such as chemotherapy elements, topical medical ointments, or other strong chemicals transferable from the body to the float tank, its solution, the float room, and towels.

If any occurrences of conditions like these were to contaminate a float room. tank/pod, shower, or equipment, and require extensive cleaning or repair, or the entire float solution were to be drained, the pod/tank cleaned, disinfected and a full refill and reset of the float solution to occur you may be responsible for a fee ranging from $200-$2500 dollars depending on the severity of the occurrence.

Infrared Sauna Therapy Policies

  • Clients will not engage in any sexual or inappropriate activities while at Calm Waters, or in the treatment or private rooms

Clients agree not use infrared sauna due to the following:

  • Pregnancy

  • Fever or illness with is the last 24 hours

  • Insensitivity to heat

  • Hemophiliacs or those prone to bleeding

  • Chronic conditions or diseases that reduce the ability to sweat

  • Recent waxing or cosmetic skin alteration (Tattoo, piercing, laser hair removal etc.)

  • Heart conditions or cardiovascular conditions that have not been cleared by a medical professional.

  • Alcohol or drug usage before or during the session

MassageTherapy Policies

  • The practitioner is happy to make adjustments for the clients session. This includes temperature, musical volume, pressure, or working on an area longer or not.

  • The client’s privacy is of the upmost importance to the practitioner. Client’s will always be modestly draped and only the areas that are being massaged will be undraped.

  • The client will always be modestly draped but are welcome to wear as much or as little as needed for comfort.

  • Sexual interaction or discussion of any kind between the client and the practitioner is NEVER appropriate or permitted.

  • Clients can feel free to talk or not during their session. The conversations will be guided by the client’s direction.

  • Clients understand that their massage service will be terminated immediately if they make any sexual advances or requests. Even questionable sexual discussion may be cause for termination.  Clients understand that massage therapy is therapeutic in nature and any interactions and communications must remain professional. If the massage is terminated for the above mentioned reasons, payment is still required in full.
